“Virtual networking is different from an in-person event, where you could actually see people, but it’s a different experience in a virtual setting,” comments online marketing expert Fady Ramzy.

There’s a general “technical unawareness” when attendees sign up for a virtual event the first time, notes Ramzy. He adds that because of this unawareness, event participants need to be curious and explore the virtual event platform every time they attend an event.

Ramzy, who doubles as a digital journalism lecturer at the American University in Cairo (AUC), has attended virtual events as both a speaker and an attendee. He’s also consulted firms taking their experience virtual. Here are his three main tips for attendees looking to network online.

  1. Do a quick research about who you want to network with, look at their LinkedIn profiles before the event and connect with them.
  2. Try to understand the platform. Invest 10 to 20 minutes before the event to know everything about the platform and how it works.

“Remember, as a virtual event participant, you want to put your contact information in many places but you don’t want to do it in aggressive manner that annoys others,” stresses Robinson.

Presenters and speakers can play a role in getting people to network during their talk, notes Robinson.

The presenter can get people to connect by asking them to add their email and LinkedIn profiles early on in the talk or before the session starts. They can do again at the end of the session to break the barriers between attendees, she adds.

This tip can also be used by businesses in their smaller virtual rooms or circles.

Meanwhile, Ramzy notes that unlike the attendee, the speaker dashboard is richer. But this means that the speaker, too, should attend the explanatory call or watch the video offered by the platform.

Here are a few more tips for speakers:

  • Your presenters may have a lot to say but be mindful and allow people to engage.
  • For speakers, involve people in your presentation.
  • Always watch the tutorial on how to use the virtual event platform and your dashboard in advance. Don’t leave till the day of the event or right before your talk.

Businesses, whether the event organizer, sponsor, or exhibitor, you too need to engage people and get them to network.

Here are several tips from Ramzy and Robinson you can use:

  • Event exhibitors and sponsors need to take the time and get trained to use the virtual event platform.
  • Some exhibitors have tons of PDFs. It’s better to be specific or offer small handouts.
  • Consider creating a handout or PDF specifically for the event to give to people interested in your virtual booth.
  • Organizers, sponsors, exhibitors need to learn how to work the networking and meeting tools on the virtual platform – in advance.
  • Organizers: Try to offer session replays (They can be 2 weeks or 1 month). Some organizers offer a higher ticket price for virtual events that involve replays that would be available for 6 months or a year.

 “I’ve seen many exhibitors skip the virtual platform introductory video or the session that organizer sets up with the platform’s team, only to discover on the big day that some of their marketing materials can’t be used or uploaded because they exceed the permitted size. Or that they don’t know how to use the platform and their experience turns into a fiasco,” comments Fady Ramzy, who doubles as a digital journalism lecturer at the American University in Cairo (AUC).

A virtual conference engagement idea is using ebooks or PDFs for lead generation. But Marie Sultana Robinson takes this a step further when she recommends presenters and speakers using fillable PDFs.

These aren’t the common types of PDFs and may not be applicable to all. In fact, one or two of these per event would be sufficient.

A fillable PDF is like a small handout that relates to the presenter’s talk. While they are talking, they ask attendees to fill in some blanks in the PDF they receive at the start of the session.

“The PDF should have a key at the end with the answers, along with the speaker’s contact information. This is great for engaging audiences and giving them something that educates them,” explains Robinson.
